Detailed Description

Basis: Flexible commitment depending on availability, with a minimum of 2-4 hours per week. Peak times will be during recruitment periods or when new shows are announced, and additional support may be needed for onboarding or coordinating training sessions. Responsible for: Assisting in the management and coordination of volunteers, ensuring smooth onboarding, training, and placement of volunteers into suitable roles. Bromley Little Theatre is looking for a dedicated Volunteer Management Assistant to support our Volunteer Manager in coordinating and managing volunteers. This is an exciting opportunity for someone with strong communication and organisational skills who enjoys networking, building relationships, and ensuring that volunteers have a positive and rewarding experience at the theatre. As a Volunteer Management Assistant, you'll play a key role in ensuring that new volunteers are onboarded quickly and efficiently, are given the relevant training or mentorship, and are matched with the right roles that fit their skills and interests. You will also follow up with volunteers to ensure they feel welcomed, supported, and engaged. As a Volunteer Management Assistant, your responsibilities will include: - Onboarding new volunteers: Assist in processing new volunteers, ensuring all necessary documentation and any background checks are completed. - Assigning roles to volunteers: Help assign volunteers to appropriate positions based on their interests, skills, and availability. - Coordinating inductions: Ensure that all new volunteers attend an induction session to familiarise them with Bromley Little Theatre’s operations, policies, and values. - Organising training: Assist in coordinating relevant training sessions for volunteers to ensure they are fully equipped to perform their roles effectively. - Providing mentorship and buddy systems: Ensure new volunteers are paired with mentors or buddies who can help them settle in, offering guidance and support as they get accustomed to their roles. - Following up with volunteers: Regularly check in with volunteers after they’ve started their roles to ensure they feel welcomed and supported. Address any concerns and ensure they are enjoying their experience. - Sending out research and updates: Compile and distribute relevant materials, research, and updates to volunteers to keep them informed about theatre activities, upcoming opportunities, and any changes in roles or responsibilities. - Communication: Regularly communicate with volunteers via email, phone, or in person to ensure they are well-supported, informed about upcoming opportunities, and feel engaged with the theatre. - Tracking volunteer progress: Monitor volunteers' involvement and ensure they are happy with their roles. Address any issues or feedback promptly and work to improve the volunteer experience. - Promoting opportunities: Work with the Volunteer Manager and comms team to advertise volunteer opportunities across different platforms (social media, email, etc.) and encourage new sign-ups. - Building relationships: Develop a network within the theatre, working with different departments to understand their volunteer needs and how best to match volunteers with those opportunities. - Event support: Assist with organising volunteer appreciation events or recognition activities to keep morale high and acknowledge the hard work of volunteers. Who are we looking for? We’re looking for someone who: - Has excellent communication skills: Able to engage with people of all ages and backgrounds, providing clear and supportive guidance. - Is organised and reliable: Capable of keeping track of volunteer details, schedules, and responsibilities to ensure smooth operations. Has a strong network-building ability: Comfortable reaching out to people, networking, and connecting volunteers with roles that suit their interests and skills. - Is a team player: Able to collaborate with the Volunteer Manager and other staff members to coordinate tasks and ensure that the theatre’s volunteer needs are met. - Has a passion for people: Enjoys helping others and ensuring volunteers feel welcomed, supported, and valued. - Has experience in administration or people management: Previous volunteer management or people coordination experience is a plus, but not essential. - Is adaptable: Able to work in a dynamic environment where tasks and roles can change based on the theatre's needs. - Is a proactive self-starter: Confident working independently, taking initiative to identify and complete tasks while ensuring clear communication with the team.
