Event Planning and Logistics Volunteer

Women’s Inclusive Team

We are seeking passionate and detail-oriented volunteers to assist Women's Inclusive Team in planning and managing our annual International Women's Week event, taking place on Friday 7 March 2025. You will help with practical preparations for the event, and help on the day to ensure everything runs smoothly. You will need to be available between early February and 10 March 2025.

Detailed Description

The Women’s Inclusive Team (WIT) supports Black Muslim Somali and Bangladeshi women and their families in Tower Hamlets. To celebrate International Women's Day, WIT is hosting a special event on 7 March 2025 in London, bringing women together to celebrate achievements, share stories, and build stronger connections. We are seeking passionate and detail-oriented volunteers to assist the Women's Inclusive Team in planning and managing our annual International Women's Week event, taking place on Friday 7 March 25. Key Responsibilities are: 1. Pre-Event Planning: ● Assist with organising and coordinating event logistics, including venue preparation, equipment setup, and vendor management. ● Take part in planning meetings to align event goals and timelines. ● Support the preparation of event materials and resources (eg printing, assembling attendee packs). ● Confirm logistics and liaise with suppliers, sponsors, and vendors to ensure all elements are finalised. 2. On-the-Day Support: ● Oversee registration, attendee check-in, and issue materials. ● Provide logistical support to ensure smooth event flow (eg directing guests, assisting with seating, liaising with suppliers). ● Handle real-time troubleshooting during the event to address any emerging issues. 3. Post-Event: ● Support the breakdown and clean up of the venue once the event concludes. ● Collect attendee feedback forms and provide summaries to the event team. ● Provide input on post-event debriefs to identify improvements for future events. You will work closely with the WIT Events Team, engaging with team members and stakeholders in the lead-up to the event. You will also collaborate with other volunteers on the event day itself, contributing to a supportive and inclusive working environment. Key Dates ● Position Duration: early February to 10 March (flexible hours based on your availability). ● Event Date: Friday 7 March 2025 (you must be available for on-site tasks on this day).

Time Commitment
